Scope and contact
This policy describes the website services for Tollgate Crossing Metro District No. 2 (the District). For privacy questions, contact Pristine Management at beau@pristinemgmt.com. Outside websites linked from this site have their own privacy practices.
Information you provide
A clubhouse reservation asks for your name, email address, phone number, address, event description, attendance count, date and times, and an optional pool-key number. Signing the rental agreement records your typed signature and consent and creates a completed agreement PDF. Booking records also include a reference, submission time, and reservation and payment-verification status.
If you email or call management, you provide the contact details and information in that communication. Email links open your email service; they do not submit a website contact form. Authorized administrator accounts use account identifiers, email addresses, and access permissions to manage District services.
How information is used
Reservation information supports date availability, review and administration of bookings, rental agreements, payment verification, and related messages. Contact information allows management to respond to inquiries. Administrator account information controls access to management functions. Public booking availability shows occupied dates without displaying renter details.
Storage and service providers
When the online booking service is enabled, submitted booking records and agreement files are stored using Amazon Web Services. The website also uses AWS services for configured administrator sign-in and email delivery. Authorized District and management personnel use these services to administer requests; service providers process information needed to deliver them.
The booking service uses a value derived from a request's IP address to limit repeated date-hold requests. Service error and operational logs support troubleshooting and security. Browser storage supports administrator sign-in and demonstration features. Local reservation demonstrations store dates in the browser; demonstration screens should be used with sample information only. Clearing browser data may sign you out or remove local demonstration data, but does not delete submitted server records.
Payments and external links
The reservation flow directs you to Clover to enter payment details. The website reservation form does not ask for payment-card numbers and does not automatically verify Clover payments. Clover handles information you enter on its service under its own policies.
Opening map, Facebook, online meeting, or other external links connects you to those providers. They may receive information from your browser and handle information you provide on their services.
Records and your requests
Contact management to ask what information is held about your reservation or to request a correction or deletion. Include enough detail to locate the request, but do not email passwords or payment-card numbers. Management may need to verify your identity before discussing private records.
Retention and disclosure depend on the record and applicable public-records and other legal requirements. A request to delete information may not permit removal of records that must be retained. This policy does not promise a fixed deletion period or that every communication can remain confidential.
